Terms of Service
Effective 2026-08-13. These terms govern your use of CoreBeacon.
1. Who these terms are between
This is an agreement between CoreBeacon (“we”, “us”) and the organization that creates a workspace (“you”, “your organization”). If you accept these terms on behalf of an organization, you confirm you are authorized to do so, and “you” means that organization.
2. What the service is
CoreBeacon is a hosted IT service-management application: a service desk, asset and configuration records, incident, problem, change and release workflows, a knowledge base, and a self-service portal. We provide it over the internet at https://core-beacon.com. We may add, change or remove features; we will not remove a feature central to a paid plan during a period you have already paid for without offering a pro-rated refund.
3. Your account
You are responsible for the accounts in your workspace and for what they do. Keep credentials confidential, and tell us promptly if you believe an account has been compromised. We offer multi-factor authentication, passkeys and single sign-on, and we strongly recommend enabling at least one for every administrator.
You must not share one login between multiple people. Seat limits on paid plans count active members and pending invitations.
4. Your data
Your data remains yours. We claim no ownership of the tickets, assets, documents, attachments or records your organization puts into CoreBeacon. We process it to provide the service to you, and for no other purpose. We do not sell it, and we do not use it to train machine-learning models.
Each workspace is isolated at the database level, not merely in application code: every tenant-scoped table enforces row-level security, and queries carry the workspace they belong to. How we handle personal data is set out in our Privacy Policy.
You can export your data at any time through the application and the API while your account is active.
5. Acceptable use
You agree not to use CoreBeacon to:
- break the law, or infringe someone else’s rights;
- store or transmit malware, or content you have no right to hold;
- attempt to access another organization’s workspace, or to circumvent authentication, authorization or rate limits;
- probe or load-test the service without our written permission — we welcome security research, but ask that you contact us first at support@core-beacon.com;
- resell the service, unless we have agreed a partner arrangement in writing.
We may suspend a workspace that is causing harm to the service or to others. Where we can, we will contact you first; where the harm is ongoing we may act first and explain afterwards.
6. Plans, billing and cancellation
Paid plans are billed in advance through Stripe, on the cycle shown at checkout. Card details are entered on Stripe’s pages and never reach our servers.
- Changing plan. Moving between paid plans adjusts the subscription you already have; the difference is prorated onto your next invoice.
- Cancelling. You can cancel at any time. Your plan continues until the end of the period you have already paid for, then reverts to the free plan. We do not refund part-used periods except where the law requires it.
- Exceeding a limit. If a downgrade leaves you above a plan limit, nothing is deleted and existing records keep working — you are prevented from adding more until you free capacity or upgrade.
- Failed payment. We retry, and keep your plan active while we do. Your workspace is not cut off mid-retry.
- Price changes. We will give at least 30 days’ notice by email before a price change affects you, and you may cancel before it takes effect.
7. Availability
We aim to keep CoreBeacon available and monitor it continuously, but we do not currently offer a contractual uptime guarantee. We will publish planned maintenance in advance where we can. If you need a formal service-level agreement, contact us.
8. Ending the agreement
You may stop using the service and delete your workspace at any time from the application. Deletion is confirmed, then held for a recovery window of 30 days, during which you can cancel it. After that window your data is permanently removed and cannot be recovered — including by us.
We may terminate this agreement if you materially breach it and do not fix the breach within 30 days of us telling you about it. If we discontinue the service entirely, we will give at least 90 days’ notice and time to export.
9. Warranties and liability
The service is provided “as is”. To the fullest extent the law allows, we disclaim implied warranties of merchantability, fitness for a particular purpose and non-infringement.
To the fullest extent the law allows, neither party is liable for indirect, incidental or consequential loss, or for lost profits or lost data, and our total liability arising out of this agreement is limited to the amount you paid us in the twelve months before the event giving rise to the claim. Nothing here limits liability that cannot lawfully be limited.
10. Changes to these terms
We may update these terms. For material changes we will give at least 30 days’ notice by email to workspace administrators, and continuing to use the service afterwards means you accept the new version. The effective date at the top always reflects the current version.
11. Governing law
This agreement is governed by the laws of the United States, and the courts of the United States have exclusive jurisdiction over disputes arising from it.
